We are looking to hire an Office Coordinator to join our team at Croydon Vision!

Job title: Office Coordinator
Reporting to: Transport & Facilities Manager
Weekly Hours: 28 hours per week (4days or shared role)
Annual Salary: £22,000 – £24,000 pro rata plus 5% pension scheme

Contract Type: Fixed Term (possibility of extension)

Objectives as Office Coordinator:

1. Provide high end customer experience for our members and team at reception.

2. Creating new and maintaining office efficiency for effective performance at CV

3. To assist the Project Manager to develop services and measure impact.

4. Create and produce engaging and educational excursions, using our 5 steps.

5. Provide timely and effective information to members via bulletin/phone call.

 

Specific Duties & Responsibilities:

1. Office Administration

· Welcome members and visitors to the centre, answer queries, signposting to the appropriate internal or external resource.

· To be responsible for the ongoing development and maintenance of office administration and database system of CV and related projects.

· Organise meetings as required, taking of minutes and action plan to ensure completeness in a timely manner.

· Work with the Transport & Facilities Manager, to ensure stock management, applications/renewal notices and provide information to members and staffs.

· Working in conjunction with the transport service, to ensure that the scheduling of groups and individual journeys are completed appropriately.

· To assist management in recruitment processes when required, induction and other training

· To support management with building maintenance of CV’s premises and health and safety systems.

· Work closely with all members of staff to develop and maintain the office administration and information systems.

· To lead in maintaining up to date stock list for stationery room and spillage cupboard.

· To maintain an office budget, finding best price for stationery before ordering, together with the Transport & Facilities Manager.

· Reception and forward facing areas to be kept clean and tidy always.

· To organise with your line manager and Volunteer Liaison Officer, to plan for holidays, ensuring reception is fully covered by trained individuals (staff or volunteers).

 

2. Service Delivery

· To lead on the planning and implementation of specific services using CV’s database system, members’ bulletin, working in conjunction with other staff as required.

· To plan 3 months excursion programme, following a through assessment that location is accessible and good fit for our members.

· To plan, schedule and assigned servicing of equipments, updating the service schedule in a timely manner.

· To assist the Transport & Facilities Manager to upkeep the H&S Folder electronically and hard copy. In addition, notice boards.

· To assist in the monitoring and reporting of projects as required – working together with the Project Manager.

· Be knowledgeable on what’s happening at CV and maintain professionalism, knowing the difference of what to say, how and when.

3. General Responsibilities

· To develop a general working knowledge of visual impairment services, operations, policies, procedures and safety matters.

· To assist in the resolution of operational problems involving CV’s members and the premises.

· To attend training courses, meetings and other occasional duties inside and outside normal working hours.

· To undertake all tasks in line with CV’s policies and procedures e.g., equal opportunities, health and safety and confidentiality.

· To undertake any other duty that may from time to time be reasonably required that is within the competence of the post holder that will assist with the smooth running of CV

ESSENTIAL

Education and qualifications

Good standard of education (A level or above)

Some experience in project management and the use of CRM systems

Experience in the use of computerised systems and software – Office 365 – SharePoint, Word Press system, Social Media outlets.

Employment History

Minimum 2 years’ experience in office administration

Relevant previous or current employment (Voluntary or Public Sector)

Business and Administration Skills

Solid experience in customer service and interpersonal skills

Ability to process information, produce reports and statistical information

Experience in minute writing, arranging and attending meetings with follow-up plans

General knowledge of Health and Safety Management

Ability to meet tight deadlines without sacrificing accuracy

Ability to work on own initiative and as part of a team, be creative, flexible and proactive
